Purpose of the Job:
To ensure the efficient and effective delivery of facilities management services at the Client’s facility, providing a safe, productive, and positive work environment.
To manage reception duties, and serve as the primary point of contact for the Client.
Job Charasteristics:
CBRE GWS is responsible for carrying out facility management activities and processes at the client’s sites in a timely and proper manner, as defined and expected by CBRE GWS, and in full alignment with its operational standards and administrative requirements.
Key responsibilities:
- Client Relationship Management:
- Serve as the primary local point of contact for the client on all facilities-related matters.
- Build and maintain strong relationships with local client representatives.
- Proactively identify and address local client needs, concerns, and requests.
- Participate in local client meetings and provide regular updates on service delivery and budget performance.
- Reception Management:
- Act as the first point of contact at reception, welcoming visitors and directing them as appropriate.
- Handle incoming calls, emails, and general enquiries in a professional and timely manner.
- Support day-to-day front-of-house operations, including meeting room coordination and basic administrative tasks.
- Maintain a tidy, well-presented reception area and assist with ad hoc office support activities as required.
- Service Delivery and Operations:
- Oversee the delivery of all CBRE services at the facility, including vendor management
- Manage and track all work orders, ensuring timely and effective resolution.
- Develop and maintain relationships with vendors and contractors, ensuring high-quality service.
- Ensure compliance with all relevant safety regulations and company policies.
- Financial Management
- Assist with the preparation of annual budgets, forecasts, and financial reports.
- Manage and track Purchase Orders (POs) and invoices, ensuring accurate and timely processing.
- Monitor spending against budget, identifying and addressing any variances.
- Reporting and Documentation
- Prepare and distribute regular reports on facilities performance, including key performance indicators (KPIs).
- Maintain accurate records of all facilities activities, including work orders, vendor contracts, and financial transactions.
Obligations:
- Comply with all workplace health and safety, fire protection regulations, and any applicable non smoking policies.
- Ensure the full, accurate, and timely completion of tasks assigned within the scope of the role.
- Adhere to all public health, hygiene, occupational health, and fire safety requirements.
- Ensure that prohibited materials or equipment are not brought into or removed from the work area.
- Immediately report any identified deficiencies, accidents, or illnesses to the Operations Manager.
- In addition to the duties listed in this job description, carry out ad hoc tasks assigned by line management as required, aligned with the job description (Line Manager: Operations Manager).

Knowledge and Experience:
- Experience in facilities management, property management, or a related field, with a demonstrated understanding of building systems, maintenance, and operations.
- Experience with work order management systems (CMMS) or similar software, including experience with ticketing systems and work order tracking.
Abilities
- Good working knowledge of Microsoft Office packages and IT literate.
- Romanian and English proficient knowledge are expected.
- Able to balance workload and manage priorities, multi-tasking where required.
- Able to perform in autonomy and make decisions in line with guiding account and operational business principle
- Fulfilling the physical demands of the role: bending, standing, walking, climbing stairs/fixed ladders, lifting weights
Certificates:
- A specialized qualification is beneficial, but not essential, contingent on work experience.
