Portfolio Services Regional Lead
As a CBRE BSO Portfolio Services Regional Lead, you will be accountable for ensuring the accuracy, consistency, and reliability of lease and portfolio data across the Client’s EMEA and APAC real estate portfolio. Acting as the regional single point of contact and subject matter expert, you will work closely with senior Client stakeholders and internal service delivery teams to oversee the Data and Rent Management scope of service, ensuring adherence to agreed standards, governance, and compliance requirements.
You will be in charge of overseeing and leading a team of highly skilled professionals within EMEA and APAC region.
This role sits within a dedicated, highly client‑facing Portfolio Services team supporting a global, well‑known Client and requires a holistic, end‑to‑end understanding of the Client’s portfolio, spanning data management, rent management, lease administration, and regional reporting and insights.
What You’ll Do:
Serve as the primary contact for the Client Teams regarding Data and Rent Management matters.
Ensure adherence to Data and Rent Management procedures and governance standards.
Oversee portfolio and lease administration data integrity
Own regional portfolio reporting, ensuring accuracy, completeness, and timeliness of outputs.
Provide formal supervision to employees. Monitor the training and development of staff. Conduct performance evaluations and coaching. Oversee the recruiting and hiring of new employees.
Coordinate and manage the team's daily activities. Establish work schedules, assign tasks, and cross-train staff. Set and track staff and department deadlines. Mentor and coach as needed.
Manage the process of producing timely and accurate Client reports and services. Point of contact for most aspects of the Client relationship.
Implement process improvement initiatives.
Communicate best practices and provide training for the team.
Take active part in audit and prepare detailed correspondence for Client regarding audit findings.
Review leased and owned portfolios to identify risk, audit, accuracy, and value.
Review the quality of work produced by lease administration team members.
Meet with Client to review services provided, propose additional services, and obtain updates.
Lead by example and model behaviours that are consistent with CBRE RISE values. Influence parties of shared interests to reach an agreement.
Apply knowledge of own discipline and how own discipline integrates with others to achieve team and departmental objectives.
Identify, troubleshoot, and resolve day-to-day and moderately complex issues which may or may not be evident in existing systems and processes.
Lead periodic regional Data Management and Rent Management meetings, track actions, and communicate priorities and process changes effectively.
Own Data Management and Rent Management KPI monitoring and reporting at the regional level.
Provide ad-hoc support for Data and Rent Management requests, ensuring timely and accurate delivery.
What You’ll Need:
Bachelor’s degree in Real Estate, Finance, Business Administration, or a related field.
Fluency in English; additional EMEA languages are a plus (German, French and Spanish).
Role is based in Warsaw, including 1-2 days weekly working from the Client’s office in the city centre.
Minimum 5 years of experience in lease administration, portfolio data management, or corporate real estate.
Excellent communication and stakeholder management skills, including senior client-facing meetings.
Team management experience required, preferably in service delivery.
Proven track record in managing large datasets and ensuring data accuracy across multiple regions.
Proficiency in real estate portfolio management systems.
Advanced Excel skills and experience with data analysis tools.
Understanding of lease structures, real estate terminology, and compliance standards.
Strong ability to interpret data and generate meaningful insights for decision-making.
Experience in preparing accurate and timely reports for senior leadership.
Strong organizational skills with attention to detail and accuracy.
Problem-solving mindset and ability to manage escalations effectively.
Ability to work independently and as part of a global team.
Comfortable working in a fast-paced environment with multiple priorities.
