About the Role:
We are seeking a proactive and service‑oriented professional to join our Workplace Experience team, based onsite with one of our high‑profile financial services clients. This role sits at the heart of workplace operations, combining front‑of‑house excellence with hands‑on support in the delivery of facilities management services.
Based at the front desk and working closely with the Workplace Experience Coordinator, you will support the smooth delivery of meeting services, greet employees and visitors, manage guest registration and badging, and act as a key point of contact for workplace‑related inquiries. You will also assist employees with day‑to‑day technology needs, including A/V support for meetings, while actively gathering employee feedback to drive continuous improvement across workplace services and amenities.
In this role, you will play a pivotal part in delivering a welcoming, seamless, and high‑quality employee and visitor experience, while supporting the effective coordination and day‑to‑day management of the facility.
A crucial part of this role will be assisting our client with the coordination of facilities management activities, including:
Workplace Care
- Perform daily walkthroughs of the workplace to assess the condition of facilities, amenities, and common areas
- Provide feedback on the overall employee experience based on observations and interactions during site checks
- Identify opportunities for improvement and enhancement of the workplace environment
- Follows security and emergency procedures as defined for the property; responds to emergency situations in a calm, efficient manner.
Facility Management Coordination
- Co-ordinate FM services delivery for the Sydney and Melbourne offices
- Provide access credential for vendors and escorts vendors on premises as required
- Assist with monitoring and maintenance of critical equipment including IT Room power and cooling
- Coordinate planned preventative maintenance, obtain and upload relevant service documentation
- Schedule and carry out corrective and maintenance as identified through the daily inspections or by the client
- Support the client in preparing and implement annual maintenance schedules and contracts
- Administer the addition and deletion of new or retired assets according to the maintenance policy
- Manage monthly Security and Environmental reporting requirements.
Vendor and partner Management
- Build relationships with the following external stakeholders to ensure consistent service of the office facilities: Building Management; Security; Maintenance contractors; Cleaning contractors
What You’ll Need:
- A graduate or equivalent qualification in facilities management, or a minimum of 3 years of experience in Facility Coordination
- Experience in managing Service Level Agreements (SLAs) and Key Performance Indicators (KPIs).
- Technical operations and maintenance experience are an advantage
- Understanding of building systems and infrastructure is an advantage
