About the Role:
We are seeking a dynamic and enthusiastic Workplace Experience FM Assistant who is committed to delivering exceptional service experience and upholding gold standard excellence in enhancing our workplace environment. In this pivotal role, you will be instrumental in assisting our client in executing facilities management and implementing innovative programs and initiatives that ensure the efficient functioning of our facilities.
With a dedicated focus on maintaining a safe, functional, and welcoming environment, you will proactively identify opportunities to optimize and streamline facilities services. Your strong interpersonal skills and service-oriented mindset will be essential in exceeding the expectations of our client, fostering elevated experience, and ensuring seamless operations throughout our facilities.
What You’ll Do:
Facilities Management Assistance
- Co-ordinate and administer FM services delivery for the Sydney and Melbourne offices
- Daily monitoring and maintenance of office facilities including equipment, furniture, and plants services
- Proactive identification of any issues and organizing resources to rectify
- Engage with appropriate external parties (building management, cleaners, maintenance contractors) to maintain the delivery standard and drive rectification of issues
- Assist with monitoring and maintenance of critical equipment including IT Room power and cooling
- Coordinate planned preventative maintenance and ownership of IWMS preventative maintenance plans and relevant service documentation
- Schedule and carry out corrective and maintenance in a timely manner
- Prepare and implement annual maintenance schedules and contracts
- Supporting planning and tracking of operating budgets in line with process. (Facilities Management, Energy, Furniture & Fixtures).
- Management of the asset register in IWMS according to the contractual requirements
- Identify areas for efficiency and develop cost saving initiatives for regular FM activities.
- Manage monthly Security and Environmental reporting requirements.
- Provides access credential for vendors
- Escorts vendors on premises as required
- Responds to and resolves ContactOne tickets using
Vendor and partner Management
- Build relationships with the following external stakeholders to ensure consistent service of the office facilities: Building Management; Security; Maintenance contractors; Cleaning contractors
Workplace Care
- Conduct Daily Site Checks: Perform daily walkthroughs of the workplace to assess the condition of facilities, amenities, and common areas
- Provide feedback on the overall employee experience based on observations and interactions during site checks
- Identify opportunities for improvement and enhancement of the workplace environment
- Follows security and emergency procedures as defined for the property; responds to emergency situations in a calm, efficient manner
What You’ll Need:
- A graduate or equivalent qualification in facilities management is an advantage or a minimum of 5 years of experience in Facility Coordination
- Experience in managing Service Level Agreements (SLAs) and Key Performance Indicators (KPIs).
- Technical operations and maintenance experience are an advantage
- Understanding of building systems and infrastructure is an advantage
