About the Role:
As a CBRE Sr. Meeting & Events Coordinator, you will support the planning and on-site execution of client meetings and events across multiple offices. This role is part of the Workplace Experience function and plays a key role in providing high-quality service to clients and visitors. You will serve as the primary on-site point of contact in the New York office and coordinate closely with cross-functional and vendor partners to ensure smooth event operations.
What You’ll Do:
● Serve as the on-site coordinator for event operations, supporting all phases of events from setup through completion according to client needs.
● Assist in developing event plans and maintaining planning timelines for in-person and remote events. Help track progress and flag issues as they arise.
● Prepare and distribute event details, including schedules, vendor orders, and setup instructions. Assist in preparing timelines and floorplans for event flow, setup, and teardown.
● Support and Facilitate pre-event planning discussions with clients, including gathering requirements, coordinating vendors, managing catering, A/V needs, and assisting with budget tracking.
● Verify pre-event setup, including room configurations and A/V arrangements, ensuring all details are accurate and ready for use.
● Maintain the meeting and events calendar for event spaces and support efficient scheduling and utilization.
● Order, track, and maintain inventory of event supplies to ensure availability for upcoming events.
● Maintain and grow a network of trusted event vendors, cultivating new relationships to enhance service quality, coverage, and cost efficiency.
● Act as the on-site contact during events, coordinating with workplace teams and vendors. Support food and beverage setup, refreshes, and breakdown to ensure seamless operations.
● Help prepare post-event summaries and assist in tracking costs, documenting feedback, and identifying areas for improvement.
● Support reporting related to Service Level Agreements (SLAs), Key Performance Indicators (KPIs), and recurring operational updates.
● Assist with maintaining event playbooks, process documentation, and training materials to ensure consistency and operational readiness.
● Coordinate with cross-functional teams, vendors, and external partners. Confirm load-in schedules, setup expectations, and required compliance documentation (e.g., COIs).
● Ensure all event activities align with safety, security, and building requirements.
● Identify opportunities for operational improvements and share suggestions with leadership.
● Solve routine to moderately complex issues by applying established processes and guidelines.
● Work on-site in the client’s New York City office five days a week.
What You’ll Need
● Bachelor’s degree preferred and 2–3 years of relevant experience; equivalent experience and education will be considered.
● Demonstrated experience managing multiple events simultaneously with competing deadlines
● Experience reviewing, interpreting, and updating event floorplans, including seating layouts, AV placement, traffic flow, and safety considerations, in partnership with Facilities and vendors.
● Working knowledge of event coordination processes and the ability to solve moderately complex issues using established procedures.
● Ability to assess options and apply sound judgment based on past precedent and technical understanding.
● Proficiency in Google Workspace (Docs, Sheets, Slides, etc.).
● Strong organizational skills with an eye for detail and a proactive, curious mindset.
● Ability to meet physical requirements, including standing, walking, bending, and lifting/carrying 50 lbs.+
● Comfortable with basic math used in budgeting and event cost tracking.
● Strong written and verbal communication skills to convey information clearly and professionally.
● Experience supporting client-facing functions and maintaining positive client relationships.
