Project Management Coordinator (HVAC / Building Infrastructure)
As a CBRE Project Management Coordinator, you will provide administrative and operational support to the team. This includes preparation of project documentation, escalation for commitments, invoice and pay application processing, and financial reconciliations.
This role is part of the Project Management function, responsible for managing projects from initiation through completion, while also supporting on site coordination activities in a live production environment.
What You’ll Do:
• Process documentation for project commitments, including obtaining external quotes.
• Coordinate change orders, change directives, and contemplative change notices with consultants and vendors.
• Schedule meetings and manage project communication plans across internal teams.
• Assist with contract administration, including attending tender openings, recording results, and issuing letters of acceptance and regret.
• Enter and maintain project information in project management systems and tools.
• Process invoices and pay applications; support project administration deliverables.
• Assist with project close out activities, including turnover documentation and financial reconciliation.
• Use existing procedures to solve routine problems while working under close supervision and guidance.
• Organize and coordinate contractors’ works, including creation and approval of required permits.
• Supervise contractor activities on site together with the project coordinator to ensure works are performed safely and in accordance with site standards and project scope.
• Act as a liaison between project stakeholders and the CBRE Technical Team to plan, coordinate, and deliver project works effectively.
• Gather and organize preliminary information required for new projects.
• Cooperate closely with the Health & Safety department to ensure all subcontractor workers complete mandatory training before commencing work.
• Support the project handover process.
What You’ll Need:
• 3+ years of job related experience, preferably coordinating projects within HVAC, building infrastructure, engineering, or facilities management environments.
• Fluency in English and Polish (spoken and written).
• Ability to follow defined work routines, procedures, and standards.
• Experience in vendor management.
• Strong organizational skills and ability to work independently.
• Good communication skills to exchange clear and straightforward information.
• Working knowledge of Microsoft Office applications (Word, Excel, Outlook).
• Readiness to work occasionally during weekends and overnight, depending on project requirements.
• Strong familiarity with the plant / production environment.
• SEP qualifications (supervision) – highly desired.
