About the Role

As a CBRE Facilities Coordinator, you will work closely with clients, vendors, landlords, and contractors to ensure facility-related tasks and work orders are completed efficiently and in line with agreed standards.
This role sits within the Facilities Management function and focuses on the day-to-day operational support of a portfolio of assets, providing administrative and coordination support to Property and Facilities Managers across repairs, maintenance, and service delivery.

What You’ll Do:

• Act as a first point of contact for employees, suppliers, vendors, and service providers on facilities-related matters.
• Use a ticketing / work order system to log, track, and close requests in line with SLAs.
• Acknowledge client inquiries, collect work orders, and ensure timely follow-up and resolution.
• Advise employees on administrative and facilities-related questions, escalating issues where required.
• Work with landlords, tenants, and service providers to ensure procedures, policies, and reporting formats are implemented and followed.
• Collect and prepare information and reports to monitor performance and progress of ongoing works.
• File and maintain work orders, proposals, vendor documentation, and departmental records.
• Monitor activities outside the building, including proper waste disposal and recycling practices.
• Respond to common inquiries or complaints from clients, co-workers, and supervisors in a professional manner.

What You’ll Need:

• High School Diploma with up to 2 years of relevant, job-related experience.
• Fluent Polish and very good English (spoken and written).
• Strong communication skills to exchange clear, straightforward information with multiple stakeholders.
• A proactive and flexible approach, with the ability to manage a variety of administrative and coordination tasks.
• Ability to follow basic work routines, procedures, and standards.
• Working knowledge of Microsoft Office (Word, Excel, Outlook).
• Strong organizational skills with an inquisitive and solution-oriented mindset.
• Basic math skills, including the ability to calculate simple figures such as percentages, discounts, and markups.
