We are seeking a dedicated, highly organized Executive Assistant to support several senior-level leaders while also managing in-office responsibilities for our Boston office.

The Role
As an Executive Assistant, you will play a critical role in providing high-level administrative support to senior leaders. This position requires exceptional organizational skills, sound judgment, and the ability to manage competing priorities in a fast-paced environment. You will also serve as a key member of the Boston office team, supporting day-to-day onsite needs and requests.

What You’ll Do

  • Calendar Management: Proactively manage and prioritize complex calendars for senior-level executives, including scheduling meetings, appointments, and travel.
  • Communication: Act as the primary point of contact between executives and internal/external stakeholders, appropriately screening and directing inquiries.
  • Meeting Coordination: Organize and coordinate meetings, conferences, and events; prepare agendas, materials, and meeting minutes as needed.
  • Travel Arrangements: Coordinate domestic and international travel, including flights, accommodations, and detailed itineraries.
  • Document Management: Prepare, edit, and format documents, reports, and presentations with a high level of accuracy and attention to detail.
  • Confidentiality: Handle sensitive and confidential information with discretion and professionalism.
  • Project Support: Assist with projects and initiatives by providing administrative, research, and data analysis support.
  • Onsite Support: Manage relationships with vendors and property management, oversee office supplies, and support general in-office operations.

What You’ll Need

  • Proven experience as an Executive Assistant or in a similar role, preferably supporting senior or C-level executives
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • High level of discretion and integrity when handling confidential information
  • Ability to work independently, anticipate needs, and prioritize effectively
  • Proactive, adaptable, and solution-oriented mindset
  • Ability to work in the office four days per week
  • Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future
