Job Title: Compliance Administrator – 6 month FTC 

CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are recruiting a Compliance Administrator to join the team on a fixed term basis to support a priority project on the contract. As a Compliance Administrator, you will responsible for providing exceptional customer service and business support in order to contribute to the continued growth and success of the Business. 

 

Responsibilities 

Review all existing subcontractor documentation held within the eLogbooks system to identify gaps, duplicates, expired items, and incorrectly stored files  

Define and document required compliance information for each subcontractor and service area in a clear compliance documentation matrix  

Audit current records to confirm which documents are present, missing, or out of date against defined compliance requirements  

Rename, categorise, and reorganise documentation using a consistent naming convention and logical folder structure  

Remove, archive, or consolidate duplicate and obsolete documentation in line with governance and retention requirements  

Liaise with internal teams and subcontractors to request, track, and obtain missing or updated compliance documentation  

Validate newly received documentation for completeness and compliance prior to storage  

Establish a standardised documentation structure and naming convention to support long-term governance and audit readiness  

Deliver a fully structured, accessible, and auditable subcontractor document library within eLogbooks 

Perform any other duties or responsibilities as requested by the CM or Management Team. 

 

Person Specification: 

Experience in a compliance or administrative role within facilities management, with knowledge of subcontractor compliance requirements 

Strong document control and organisational skills, including managing large volumes of records within electronic systems such as eLogbooks 

High attention to detail with the ability to identify gaps, duplicates, expired, or non‑compliant documentation 

Confident communicator able to work with internal teams and subcontractors to request, track, and validate compliance documentation 

Methodical, proactive, and process‑driven, with the ability to support audits and maintain ongoing compliance governance
