About the role:
As a CBRE Workplace Experience Coordinator, you'll be responsible for delivering a world-class customer service experience to employees and guests of a designated building. This job is part of the Workplace Experience function. They are responsible for providing world-class customer service to the clients and visitors of a designated building.
What You’ll Do:
First point of contact for all those entering the workplace. Making a memorable first impression by greeting guests with a friendly and welcoming demeanor, engaging with eye contact.
Partner closely with securing support with any access needs for employees or visitors.
Support in answering the telephone in a professional manner and directing inquiring calls to the right contact.
Focus on delivering an elevated hospitality experience by providing genuine, authentic yet professional interaction with everyone.
As CBRE’s workplace team, we provide recommendations and solutions across the organization. There may be projects that arise, where you will support in developing presentations and speaking to various-sized groups.
Knowledgeable of the building, workplace, and neighboring areas.
Ensure you are aware of key contacts and methods of communication for our strategic partners regarding requests and escalations
Arrange and confirm recreational, dining, and business activities on behalf of the requestor.
Conduct daily walk throughs with a keen eye for detail, reporting and following up with the appropriate vendor or teams.
Manage janitorial or maintenance work orders as needed. Coordinate and execute workplace services including mail, office supply services, pantry needs, amenities, welcome tours, etc.
Acknowledge inquiries or complaints from employees, guests, and co-workers. Provide solutions in a professional customer service-driven manner.
Proactive nature. Anticipates the needs of our guests / clients and offers solutions or support without asking.
Takes ownership of tasks or issues and follows up to ensure it is complete/closed. Demonstrates emotional intelligence among interactions.
Communicate daily with executive assistants, key bookers and at times, COOs and other C-Suite Executives
Organize and manage on-site events and activations, as needed. This includes securing event space, set up and tear down of the room, and delivery of supplies.
Follow property-specific security and emergency procedures. Notify appropriate parties to ensure the safety of all individuals in the building.
Coordinate with vendors who supply services or goods to the workplace.
Explain detailed and/or complicated information within the team. Follow specific directions as given by the manager.
Impact through clearly defined duties, and methods and tasks are described in detail. Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.
Ensure all details are accurate in shared calendar or meeting system and updated as reiterations are sent in.
Actively monitor mailboxes, ensuring all emails are responded to and actioned within 24 hours.
Provide catering menus to bookers and be proficient in answering their questions. Attention to detail is critical in indicating dietary and allergen requests
Proactively researches our clients and visitors and communicates to the team when VIPs are visiting. Preferences are indicated and standard arrival template is shared.
Responsible for meeting room preparation and resetting to ensure each meeting has the same experience, in charge of coordinating room bookings and managing cleanliness and aesthetic standards of the client face spaces
Assisting with activations, displays and celebrations within the workplace
Checking government issued identification upon arrival of external guests
Communicating directly with clients when registered/unregistered visitors have arrived
What You’ll Need:
High School Diploma or GED with up to 2 years of job-related experience.
Ability to follow basic work routines and standards in the application of work.
Communication skills to exchange straightforward information.
Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
Strong organizational skills with an inquisitive mindset.
What To Expect:
The position requires on-site support five days a week, Monday – Friday. Shift schedules may vary as business demands.
