Portfolio Services Data Coordinator



As a CBRE BSO Portfolio Services Data Coordinator, you will be accountable for ensuring data consistency and accuracy across dedicated Client real estate portfolio. In the role, you will be working closely with external Client and internal service delivery teams to make sure that database standards and processes are followed and to high quality at all times.

This job is within the Portfolio Services dedicated Client team, highly client-facing for a global, well-known brand. In the role, you will need a holistic understanding of the Client’s portfolio (data management and rent management).



What You’ll Do:



  • Accountable for developing and maintaining portfolio and lease administration data integrity, accuracy, quality, and completeness (Ensure Data Management and Rent Management Teams are following the agreed process).

  • In cooperation with Client and internal teams, lead or co-lead Data Improvement Projects.

  • Propose improvements to drive data integrity and improve internal controls.  

  • Management of call-off services such as Base Rent Audits, Service Charge Audits, Client specific requirements and customisations.

  • Portfolio data reporting.

  • Support and closely cooperate with Regional Lead, acting as a consultant for data and rent management items.

  • Contribute to the strategy on the account, including quality initiatives and regional client care by making sure high data standards are maintained and constantly improving.

  • Support to Data and Rent Management teams in securing information required to close out system updates, lease abstraction and data clean-up projects.

  • Take part in externally client-facing meetings and initiatives related to database management, rent management and lease administration holistically.

  • Periodic review of customization and abstraction standards.

  • Regular touch point with Client and Account Team in relation to data and rent standards.

  • Support in financial reporting for the account, reconciliations and financial validations.

  • Compare and evaluate operating expense and tax reconciliation statements received. Verify the expenses charged to clients following lease clauses.

  • Perform full-scope basic audits for lease administration clients. Request additional information and recommend action for additional audit and recovery.

  • Prepare reports of findings and ensure accurate credits and appropriate charges are made and recorded.

  • Assist with the preparation of CAM reconciliations for accuracy and adherence to business control standards and guidelines.

  • Review contracts to properly identify fees. This includes sharing audit savings, travel reimbursements, etc.

  • Apply general knowledge of standard principles and techniques/procedures to accomplish assigned tasks and solve routine problems.

  • Lead by example and model behaviours that are consistent with CBRE RISE values.

  • Impact the quality of own work.

  • Work within standardized procedures and practices to achieve objectives and meet deadlines.

  • Explain and exchange information, ask questions, and check for understanding.



What You’ll Need:



  • Fluent in spoken and written English; additional EMEA languages are a plus (German, French and Spanish).

  • Role is based in Warsaw, including 1-2 days weekly working from the Client’s office in the city centre.

  • Professional experience in lease administration is a must (preferred candidates originate from Database Management or Rent Management operations with excellent quality results).

  • Strong attention to details with very good organizational skills.

  • Excellent communication and stakeholder management skills.

  • Pro-activity and flexibility.

  • Strong analytical and problem solving skills, can-do approach.

  • Interest and experience in data monitoring dashboards, openness to automations and tools including development and testing.

  • Reliable, committed, team player, and fast learner.

  • Very good knowledge of MS Office tools (Excel, Word, PowerPoint)

  • Able to work under time pressure to meet deadlines while managing conflicting priorities.
