About the Role

The Project Management Coordinator provides administrative support to the project management team leading ground up and multi-use facility infrastructure construction projects.  Duties include project documentation preparation, escalation for commitment, invoice & pay application processing, and financial reconciliations.

This job is part of the Project Management function responsible for the management of projects from initiation through completion. Role offers a remote work schedule supporting project management staff located in the Eastern Time Zone.

What You’ll Do

Process documentation for project commitments. Obtain external quotes for processing. Coordinate change orders, change directives and contemplative change notices with consultants and vendors.

Schedule meetings and communication plans regarding projects amongst teams and clients.

Assist with contract administration. This includes attending tender openings and recording results, issuing letters of acceptance and regret.

Enter project information and data into project management technology tools.

Process invoices and pay applications. Help with project administration deliverables.

Assist the project closeout process including turnover documentation and financial reconciliation.

Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.

Impact through clearly defined duties, methods, and tasks are described in detail.

Deliver own output by following defined procedures and processes under close supervision and guidance.

What You’ll Need

Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future

  • High School Diploma or GED with up to 2 years of job-related experience.
  • Experience in supporting project management staff managing construction projects is desirable.
  • Vendor coordination experience including invoicing and financial documentation.
  • Proficiency in MS Office Suite (Word, Excel, Outlook). Experience in Kahua or similar project management software and D365 or other Enterprise Resource Planning (ERP) platform is beneficial.
  • Ability to follow basic work routines and standards in the application of work.
  • Communication skills to exchange straightforward information.
  • Strong organizational skills with an inquisitive mindset.
  • Basic math skills. Ability to calculate simple figures such as percentages, discounts, and markups.
