About the Role
As a Facilities Coordinator, you will play a key onsite role in supporting the safe, compliant, and efficient operation of a corporate workplace. This role is responsible for coordinating both hard and soft facilities services, ensuring the workplace meets operational, safety, and customer experience standards.
This role is well suited to someone who enjoys being present on site, working closely with service partners and occupants, responding to operational issues, and maintaining a high-quality workplace environment. Your proactive approach and attention to detail will contribute directly to service reliability, safety outcomes, and employee experience.
What You’ll Do
- Support day-to-day delivery of hard and soft facilities services, including building maintenance coordination, HVAC/electrical/plumbing support, cleaning, waste, and other workplace services.
- Conduct daily and routine workplace inspections to identify maintenance issues, safety risks, and service gaps, ensuring timely follow-up and rectification.
- Coordinate corrective and preventative maintenance activities, tracking work orders and ensuring tasks are completed in line with agreed schedules and service levels.
- Provide onsite coordination of contractors and service providers, ensuring all works are carried out in accordance with WHS requirements, permits, and CBRE/client procedures.
- Ensure compliance with workplace health and safety (WHS), emergency preparedness, and site-specific requirements, escalating risks and incidents as required.
- Ensure consistent achievement of SLAs and KPIs for facilities services, helpdesk requests, and operational performance.
- Support asset and equipment management, ensuring assets are logged, condition-checked, maintained, and recorded accurately.
- Generate, track, and maintain facilities reports, including work orders, service performance, inspections, and asset data.
- Maintain accurate site documentation including manuals, certificates, compliance records, permits, and operational logs.
- Coordinate pantry, stationery, and first aid supplies, working with internal teams and vendors to ensure availability and compliance.
- Support finance administration activities including invoice verification, goods receipt processing, cost tracking, and purchase order support.
- Assist with operational reporting, audits, and continuous improvement initiatives as required.
- Comply with all CBRE, client, and statutory policies, procedures, and service standards.
- Participate in site-wide activities such as fire drills, emergency response exercises, planned maintenance shutdowns, and audits.
- Remain mobile across the workplace, performing regular walkthroughs, proactively identifying issues, resolving disruptions promptly, and contributing ideas to improve workplace efficiency and experience.
What You’ll Need
- Diploma or Degree in Facilities Management, Building Services, Engineering, Business Administration, or a related field is preferred.
- Experience in facilities coordination or building operations within a corporate or commercial environment.
- Basic understanding of building services, maintenance coordination, contractor management, SLAs, KPIs, and WHS requirements.
- Strong communication and coordination skills, with the ability to work effectively with contractors, occupants, and internal stakeholders.
- Hands-on, detail-oriented, and comfortable working in a busy, onsite facilities environment.
- Ability to prioritise tasks, respond to issues quickly, and manage multiple work streams simultaneously.
- Proficiency in Microsoft Office and facilities or workplace management systems.
- Physically able to conduct regular inspections and walkthroughs across office and plant areas.
- A proactive, service-focused mindset with the ability to identify risks, manage issues, and suggest practical solutions.
