The Program Coordinator provides essential administrative support for the Global Site Council, focusing on financial management (expense reporting, budget oversight, purchase requests, purchase orders), event logistics, and regular communications (i.e.: newsletters). The role is pivotal in ensuring accurate event data entry and supporting both pre-event planning and post-event reporting, all while collaborating regionally and globally with other coordinators, employees, Site Operations Managers, and program managers.
Site Council is a global engagement program led by volunteers, fostering community and connection through local activities and supporting company culture. There are over thirty councils worldwide, overseen by Site Operations Managers and global program management for consistency and strategic planning.
Financial Management
- Expense Reports: collect details and receipts for Site Council activities, ensuring compliance and timely reimbursement.
- Budget Oversight: monitor budgets, track spending, and prepare periodic financial reports.
- Purchase Requests / Orders: upload requests and orders with visibility into all expense reports
- Budget Outlooks: provide accurate financial reporting, including accruals and variances
Event Data & Logistics
- Event Entries & Metrics: ensure timely and reliable data entry in Adobe’s community collaboration event tool.
- Data Entry: support strategic planning and post-event metrics for the Data Driven Operating Model (DDOM).
- Verification: confirm correct categorization for financial tracking and reporting.
- Large Event Logistics: act as a resource for volunteers, reducing administrative friction.
- Support Events: execute or coordinate event details, including vendor communications and quotes.
Communication
- Updates: provide Site Council updates via Adobe channels
- Newsletters: create global/regional quarterly newsletters in collaboration with Site Operations Managers, volunteers, and Global Program Manager
- Site-wide Communications: draft communications as directed, using Slack, email, or other channels
- Strong organizational skills and an inquisitive mindset.
- Effective communication for straightforward information exchange.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Familiarity with technical platforms, dashboard, and data analysis.
- Data-driven approach and basic math skills for calculating percentages and variances.
- Ability to maintain confidentiality and handle sensitive information.
- Experience in providing courteous and efficient customer service.
- Onsite requirement 5 days a week
