About The Role:

Under limited supervision, provide general administrative support for the Property Management Team. Assist with tenant and vendor customer service.

What You'll Do:

  • Perform a broad range of administrative tasks for assigned staff including but not limited to phone support, draft, preparation, distribution, and tracking of correspondence, expense reporting, calendar and scheduling, meeting coordination, filing and copying, taking inventory/ordering supplies, etc.
  • Maintain tenant, vendor and property files, including insurance certificates, lease abstracts, contact lists, and review security clearance forms for accuracy and timely delivery to Security, etc. in accordance with prescribed standards.
  • Work with Building Technician staff and vendors to compile a list of maintenance items. May open work orders and prepare/receive purchase orders; Coordinate and monitor status of work assigned to vendors.
  • Coordinate tenant events and appreciation. Assist with publication and dispersing of tenant newsletter.
  • Assist with preparation of Common Area Maintenance (CAM) dues, invoices and related correspondence.
  • Coordinate accounts payable and accounts receivable. Code invoices for payment, inputs into accounting system and forwards original invoices to accounting for payment. Assist with providing payment status as needed. Communicate with vendors if any follow-up is needed.
  • Learn to utilize various programs such as PULSE, P2P, Building Engines, and Pay Scan, etc.
  • Complete ongoing training, attend team meetings and set goals.
  • Keep data confidential and safe-guard information by properly storing and obtaining necessary approvals before responding to any information requests outside of information provided for in Tenant Handbook or Contractor Rules & Regulations.

  • High school diploma/general education degree (GED) and a minimum of three years of related experience or training
  • Ability to comprehend and interpret instructions, correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence.
  • Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.
  • Ability to solve problems in standard situations; Requires basic analytical skills.
  • Intermediate to sophisticated skills with Microsoft Office Suite, specifically: Word, Excel, and Outlook. In addition, experience utilizing Adobe.
