Facilities Coordinator (Reception & Mailroom)
Role Purpose
The Facilities Coordinator is responsible for the daily operational excellence of the campus reception and mailroom services. This role ensures a seamless experience for employees and visitors by coordinating high-standard hospitality, efficient logistics, and supporting the implementation of workplace technologies. The Coordinator serves as a key point of contact for onsite service delivery and supports the wider Workplace Experience team in maintaining a high-performance environment.
Core Responsibilities
1. Reception & Mailroom Coordination
• Daily Operations: Coordinate the daily activities of the existing reception team (4
• staff) and mailroom team (4 staff) to ensure consistent service delivery.
• High-Compliance Logistics: Provide direct oversight and processing support for
• high-priority mail streams, including Legal and Starboard mail, ensuring accuracy and
• security.
• New Site Support: Support the mobilisation of reception desks and service strategies for new flagship buildings
2. Workplace Technology & Admin
• Parking Management: Administer the car and motorbike parking app,
including regular reporting and identifying user experience improvements.
• Event Dashboards: Support the launch of the events dashboard by attending coordination calls and ensuring the reception and mailroom teams are trained on the system.
3. Asset & Inventory Management
Campus Mobility: Oversee the day-to-day management of car and motorbike parking areas across the campus.
4. Events & Communications
• Event Support: Coordinate with the Events FA to track and delegate event set-ups across the campus, ensuring physical spaces meet hosting standards.
• Communication with the team on the events are taking place across campus,
• Onsite Comms: Facilitate campus communications
• Engagement: Participate in and support the local Employee Engagement Committee to help produce weekly newsletters and enhance the onsite employee journey.
5. Workforce Support
• Temp Coordination: Assist in managing the temporary staffing budget and liaise with suppliers to ensure adequate cover during peak periods.
