Role: Meeting & Events Coordinator – Henrietta House (EMEA HQ)
Location: London
Working pattern: 5 days onsite  (40 hours per week)
Hours: Hours: Shift pattern - Shifts range 07:00– 23:00, depending on events but normal day to day shifts are generally 8am - 5pm or 9am – 6pm with 1 or 2 evening shifts a week with generally a finish time no later than 10pm.

Role Overview
The Meeting & Events Coordinator plays a key role in delivering high-quality meeting and event experiences at Henrietta House, CBRE’s EMEA Headquarters. This position is hands-on and operational, supporting the planning, coordination, and execution of internal meetings and events to ensure a seamless and professional service.

You will oversee the end-to-end lifecycle of internal meetings and events—from initial booking through execution and post-event feedback—while maintaining the highest standards across all event spaces.

Working closely with the Meeting & Events Manager and wider workplace experience team, you will contribute to smooth daily operations and help uphold best practice within Korbyt, our room reservation system. This is a dynamic role requiring exceptional organisational skills, attention to detail, and a passion for creating memorable experiences.

What You’ll Do
Event Delivery & Operations
  • Own the full event lifecycle, ensuring all requirements are understood, planned, and delivered to CBRE’s premium standards.
  • Conduct daily checks of all meeting and event spaces, guaranteeing readiness and escalating any facilities or maintenance issues promptly.
  • Manage set-ups, turnarounds, and resets—including furniture, décor, AV equipment, and layouts—ensuring precision and efficiency.
  • Effectively work with Catering, AV, and Front of House teams to deliver seamless, high-quality experiences.
  • Perform final inspections prior to event start to ensure flawless execution.
  • Provide on-the-day support: guest welcome, troubleshooting, supplier liaison, and service oversight.
  • Log and resolve any event-day issues swiftly and professionally.

Systems & Administration
  • Champion the Korbyt reservation system: manage bookings, maintain accurate records, and ensure timely updates for cross-charging.
  • Identify opportunities to optimise space utilisation and streamline processes.
  • Support administrative tasks such as guest lists, name badges, stock control, and ordering event materials.
  • Align Henrietta House practices with the wider EMEA Events team to ensure consistency and best-in-class standards.
Additional Responsibilities:.
  • Perform other duties as assigned to help the wider workplace experience team.

What We’re Looking For
  • Proven experience in event coordination or hospitality management, ideally within a corporate or premium environment.
  • A passion for delivering exceptional client service and engaging with visitors and clients.
  • Highly adaptable and flexible with a warm and engaging demeanour.
  • Exceptional organisational and time-management abilities.
  • Proficiency in event management systems (Korbyt experience desirable).
  • Excellent communication and stakeholder management skills with the ability to write reports and respond to common inquiries or complaints.
  • A proactive mindset with a passion for delivering outstanding client experiences, with strong problem-solving skills.
  • Ability to work flexible work schedules based on office needs.

Safety
  • Complete at a satisfactory level all required and assigned HSE training.
  • Follow all activity policies and procedures, including all HSE-related requirements, at all times
  • Participate in all HSE-related programs & activities required, including incident investigations, interviews, auditing and assessment, etc.
  • Report any condition which you feel could result in an accident or injury and/or stop work if required
  • Maintaining and wearing appropriate personal protective equipment (PPE) at all times. Apply appropriate manual handling techniques at all times.
