Role Purpose: 

Receptionist will provide exceptional Front House and Reception Services for our Client Office in Bucharest. The role involves managing Front Desk Reception, warmly welcoming visitors, and client employees, assisting with bookings, and supervision of cleaning staff to ensure the client office is well-maintained. 
The ideal candidate has experience in a corporate or 5-star hotel reception environment, excellent customer service skills, and strong communication skills. Role will be reporting to the facilities manager and working as part of the overall Facilities Team.

Core Responsibilities: Receptionist

  • Qualities and Personal Attributes: Essential (unless noted as Desirable) Business Generation, Execution and/or enablement
  • Cover Front of House and Reception services  
  • Welcome meet and greet for all visitors and employees. Maintaining Site Visitors’ logs.
  • Assign employees temporary badges according to Client Security Standards and Procedures.
  • Answer Reception phone calls in a professional manner.
  • Assist with internal bookings as required, with full meeting room accountability. Helping with the administrative side of events: room booking, printing protocol files, and distributing them with the site handyman and cleaning team, depending on the needs of the event (room set-up, cutlery, plates, etc.)
  • Manage company mails, sorting, announcing, and distributing correspondence to Client employees.
  • Place courier orders though couriers platform. 
  • Assist with a variety of administrative tasks including copying, taking notes etc.
  • Supervise and coordinate activities of cleaning team to ensure high level of service delivered. Provide direction to office cleaners, giving daily certain tasks.
  • Manage Facilities helpdesk ticketing platform –action queries promptly in line with SLA for Facilities requests.

Essential Competencies

  • Good experience of working within a fast-paced, customer-facing, facilities environment is a requirement for this position, along with exceptional administration and communication skills. Specific competencies within this general requirement include the following:
  • The ideal candidate has experience in a corporate or 5-star hotel reception environment with excellent customer service skills.
  • A minimum of 1 year working in a corporate environment, with reception and FM experience preferred.
  • Fluent in English – written and spoken.
  • Excellent Customer Services Skills
  • Professional/confident telephone manner 
  • Excellent oral & written communication skills, good computer literacy.
  • Good planning and organizational skills
  • Must be able to work on own initiative with a proactive and flexible attitude
  • Excellent IT literacy skills in MS Outlook, Word & Excel.
  • Ability to multitask and prioritize.
  • Must have a smart appearance
  • Sound problem-solving ability.
  • Able to balance workload and manage priorities, multi-tasking where required.
  • Able to perform in autonomy and make decisions in line with guiding account and operational business principle
  • Fulfilling the physical demands of the role: bending, standing, walking, climbing stairs/fixed ladders, lifting weights
