About the Role:

We are seeking a highly organized Program Coordinator with a flair for visual communication to support the SCP and TACS functions. This role is the "connective tissue" of our team, ensuring that information flows smoothly, meetings run on time, and our documentation is pristine. The ideal candidate is an expert in project management tools (ex., Smartsheet, Asana) who can also design a compelling slide deck and draft a clear team newsletter.

Note: This role is administrative and logistical. While the candidate will support Crisis and Threat teams, they will not be responsible for threat assessments, risk decisions, or crisis response strategy. 

This job is part of the Project Management function. They are responsible for the management of projects from initiation through completion.

What You’ll Do:
  • Build, maintain, and optimize complex projects. Create templates, set up automation rules, and manage task dependencies to ensure workflows run smoothly.
  • Monitor intake forms and bug queues for SCP/TACS. Perform administrative triage (labeling, categorization) and route items to the correct FTE decision-makers.
  • Organize and maintain the team’s Google Drive repository. Ensure permissions are correct, file naming conventions are followed, and stale documents are archived. 
  • Visual Storytelling: Design and refresh slide decks for high-stakes leadership reviews (e.g., SteerCo, MBRs/QBRs). Transform raw bullet points into visually impactful, professional presentations.
  • Draft and distribute program newsletters, email updates, and status reports based on inputs from program leads.
  • Update Standard Operating Procedures (SOPs), "Go Links," and Risk Registers.
  • Support keeping the TACS Website current and proactively identifying areas which may require updates on a routine basis.
  • Manage complex calendars for risk reviews, leadership, and team syncs. Document action items in project trackers and track to completion. Maintain weekly on-call schedule for crisis activations.
  • Support maintaining TACS’ intelligence databases through weekly data entry tasks.
  • Suggest, design, and implement standardized, professional format templates for the Threat Analysis and Coordination Section (TACS) routine reports and intelligence assessments. The primary goal is to enhance readability, scan ability, and reader engagement while ensuring brand consistency. (Note: The Coordinator formats the report template; the FTE writes the assessment). 
  • Support other document related tasks as assigned. 
What You’ll Need:
  • Bachelor's Degree preferred with 2-5 years of relevant experience. In lieu of a degree, a combination of experience and education will be considered.
  • Understanding of existing procedures and standards to solve slightly complex problems.
  • Ability to analyze possible solutions using technical experience to apply appropriate judgment and precedents.
  • In-depth knowledge of Asana and similar project management tools: Demonstrated ability to build projects, use portfolios, and implement automation rules. 
  • Ability to create professional, aesthetically pleasing slides and reports in Google Slides or PowerPoint, and Google Docs or Word.
  • Excellent written communication skills with the ability to edit for clarity and tone.
  • Strong organizational skills with an inquisitive mindset.
  • Advanced math skills. Ability to calculate complicated figures such as percentages, fractions, and other financial-related calculations.
  • Managers (SMs), GCL contacts, and 3PL contacts is current.
  • Create and maintain client Incident Reporting logs for new site launches or deviations.
  •  Execute administrative checklists for deviations and monthly
  • Dashboard Management: Aggregate, cleanse, and format data for Key Performance Indicators (KPIs) and Monthly Business Reviews (MBR).
  • Monitor operational queues (e.g., Access Control, Site Bugs); assign tickets to appropriate Subject Matter Experts (SMEs) based on defined logic, and track items to closure.
  • Perform daily updates on project trackers (Asana/Sheets), ensuring that status fields reflect the latest reality provided by the technical teams.
  • Develop and update presentation decks and project reference materials for project kick-offs, status updates, and leadership reviews; update any and all business review decks to capture monthly metrics.

What You’ll Need:

  • Advanced proficiency in Asana and similar project management tools. Demonstrated ability to build projects, use portfolios, and implement automation rules. 
  • Ability to create professional, aesthetically pleasing slides and reports in Google Slides or PowerPoint, and Google Docs or Word. 
  • Experience working in a security, intelligence, crisis management or strategy environment is preferred. 
  • Background in graphic design or internal communications is preferred. 
  • Advanced math skills. Ability to calculate complicated figures such as percentages, fractions, and other financial-related calculations.

The minimum salary for this position is $65,000 annually and the maximum salary for this position is $85,000 annually. The compensation that is offered to a successful candidate will depend on the candidate’s skills, qualifications, and experience.
