Facility Specialist

As a Facility Specialist, you are the first point of contact for all facility-related requests, and you support the daily operational and administrative processes within the office. With your service‑oriented attitude, you help ensure a pleasant, safe, and well‑organized working environment for all employees and visitors.

Tasks & Responsibilities

  • Receiving, logging, and following up on facility requests via phone, email, and FMIS.
  • Assigning tasks to internal colleagues and external suppliers and monitoring progress.
  • Informing employees about the status of their requests and questions.
  • Providing facility support in the execution and management of soft services contracts, such as cleaning, catering, and other service providers.
  • Emergency Response Support: assisting with safety-related tasks such as evacuations, incident reporting, and coordination with emergency response colleagues.
  • Welcoming, registering, and guiding visitors.
  • Answering and directing incoming phone calls.
  • Processing sickness and recovery notifications according to internal procedures.
  • Supporting financial administration, including invoice checking and cost registration.
  • Maintaining documentation, administrative records, and other office and facility-related administration.

Job Requirements

  • Education: MBO/HBO level, preferably in Facility Management or Administration.
  • Experience: Experience in a service-oriented or facility-related role is an advantage.
  • Skills: Customer-friendly, strong communication skills, accurate, stress-resistant, and proactive.
  • ICT: Experience with Microsoft Office; knowledge of an FMIS system is a plus.
  • Languages: Both Dutch and English.
  • Availability: 32 hours per week (4 days).
