The Onsite Facilities & Workplace Manager is responsible for ensuring the seamless daily operation of the workplace by combining strong facilities management expertise with exceptional office leadership and employee experience skills. This role oversees building operations, vendor management, safety, and maintenance while also serving as the primary point of contact for employees, guests, and leadership for all office-related needs.
This individual is highly visible, service-oriented, and proactive, creating a safe, efficient, and welcoming environment where employees can do their best work.
What You’ll Do:
Facilities Management
- Onsite Five Days a Week
- Oversee daily building operations including HVAC, electrical, plumbing, life safety systems, and general maintenance
- Manage relationships with property management, landlords, and third-party vendors
- Coordinate preventative and reactive maintenance programs
- Lead safety initiatives including fire drills, emergency preparedness, and compliance with local regulations
- Manage space planning, moves/adds/changes, and workplace setup
- Monitor facility budgets, service contracts, and purchase orders
- Ensure workplace sustainability and efficiency initiatives are followed
Office & Workplace Experience
- Serve as the primary onsite point of contact for employees and visitors
- Create a welcoming, organized, and high-functioning office environment
- Oversee reception, conference rooms, kitchens, common areas, and overall office presentation
- Coordinate office events, employee engagement activities, and meetings
- Manage office supplies, pantry, and service vendors
- Support new hire onboarding from a workspace and logistics perspective
Soft Skills & Leadership
- Act as a trusted partner to employees and leadership
- Anticipate needs before they become problems
- Communicate clearly and professionally across all levels of the organization
- Provide white-glove service with a hospitality mindset
- Manage difficult situations calmly and diplomatically
- Foster a culture of safety, respect, and accountability within the workplace
- Bachelor's Degree preferred with 3-5 years of relevant experience. In lieu of a degree, a combination of experience and education will be considered. Valid driver's license required. Facility Management certification preferred.
- Experience in the areas of staffing, selection, training, development, coaching, mentoring, measuring, appraising, and rewarding performance and retention preferred.
- Ability to guide the exchange of sensitive, complicated, and difficult information, convey performance expectations and handle problems.
- Leadership skills to motivate team impact on quality, efficiency, and effectiveness of the job discipline and department.
- Extensive organizational skills with a strong inquisitive mindset.
- Advanced math skills. Ability to calculate difficult figures such as percentages, fractions, and other financial-related calculations.
