The Facilities Coordinator will report directly to the Account Director while also working closely with the on-site CBRE technical management team and the client. They will coordinate all aspects of the contracts FM requirements as required.

Skills
  • Experience of working in a fast-paced, operational environment.
  • Strong relationship management with colleagues, clients and sub-contractors demonstrating excellent communication / influencing skills.
  • Robust and assertive attitude towards achieving results.
  • Strong organisational abilities ensuring that all documentation is stored and auditable.
  • Ability to work to own initiative but also team orientated, multi-tasking and ability to prioritise your workload.
  • High customer focus.
  • Excellent IT skills, competent across Microsoft Office programs and experience with a CAFM (facilities work order management) system is desirable.
Contractor management
  • Co-ordinating the office yearly subcontractor maintenance (PPM Planner). Ensure attendance within SLA’s
  • Liaising with on-site teams, clients and sub-contractors, based around the PPM planner
  • Schedule sub-contractor and Ad Hoc works. Arrange Call outs if required.
  • Request RAMS/Credentials for all maintenance and call outs and remedials and booking in sub-contractors with security.
  • Maintaining the office PPM planner.
  • Send PPM reports to the technical team for appraisal.
  • Work closely with the on-site technical teams, notably the lead Tech & Technical Services Manager.
  • File all PPM reports to the client filing system
  • Ensure CBRE contractor Logbook sections under your remit are kept up to date.
Mail Room
  • Be responsible for receiving all incoming mail and advising staff of it’s arrival.
  • Book couriers for outgoing mail and collections as needed.
  • Manage mail room stock levels.
  • Manage external events deliveries.
Additional.
  • Raise regular observations using the CBRE, QHSE, and Harbour platform.
  • Liaising with the relevant client teams for clearance/vetting.
  • Contribute to the regular client/team meetings.
  • Ensure QHSE documentation is maintained and readily available for auditing purposes, utilising our in-house electronic logbooks.
  • Actively identify and implement innovation across the contract to enhance performance and continue to exceed the client’s expectations.
  • Promote and maintain CBRE’s work ethics and culture, following our RISE values and setting an example to your peers.
  • High level of trust and integrity whilst handling confidential information.
  • Obtain full security clearance both client & CBRE.
