Summary - Job Description 


To provide administrative support to the Facilities Management team in accordance with clients’ policies, procedures and processes. Assist Facilities Management team in the delivery of services to meet client’s expectations. Develop an understanding of and good working relationship with key representatives of the client, suppliers and team members.


To provide comprehensive facility, contract and procurement management for non-technical and technical services to the client, with a focus on continuous improvement.  To achieve financial and other targets established by the Facilities Manager. Achievement of the Key Performance Indicators and Service Level Agreement targets in accordance to the Master Services Agreement.


As part of the Facilities Management service delivery team, the Facilities Coordinator will also be an ambassador for CBRE business – and will be expected to uphold CBRE’s ‘RISE’ values as set out below:

This role will report in to the Senior Facilities Manager (CBRE) or another manager as delegated by the Regional Account Director (CBRE).


The following responsibilities will be included as key components of the overall requirements for this role:

This position manages and provides all FM services for one client office as a representative of CBRE FM team. 


  1. Facilities Management (40%) 
    • Conduct regular site inspection and follow up with vendors to ensure that issues that have been identified are being action-on and completed. 
    • Keep to maintain for site working environment in good condition. 
    • Monitor the Preventive and Planned Maintenance to minimise maintenance, repair and replacement costs together with minimising the risk of plant failure. Liaise with the SI7 system on any outstanding Work Orders. 
    • Need to negotiate with the building management team for the office facilities and environment. 
    • Manage outsourced vendors on the day to day operations matters (Cleaning, Engineering services, pantry supplies, Handyman/Technician, other key vendors) 
    • Responsible for managing vendors as assigned by the FM from time to time 
    • Responsible for keeping an up-to-date inventory list of the pantry supplies and manage the site inventory, and procurement & replenishment. 
    • Responsible for managing pantry equipment like vending machines and coffee machines, and coordinating for on-site equipment repair (if necessary) 
    • Need to manage the energy through tracking and monitoring, analysis. 
    • Responsible for other office administration as required by the FM from time to time

  1. Financial support (30%) 
    • Register and manage the FM vendor in system.
    • Create purchase requisition to initiate purchase process for FM service in CBRE system, and proceed purchase order for monthly service.
    • Monthly reporting for PO data and actual spending.
    • Communicate with vendor related the quotation and invoice.
    • Responsible for managing the Buy to pay process.

    • Find the saving opportunity, and propose the Saving point.


  1. Reception service (20%) 
    • Manage the visitors and in-coming calls. 
    • Manage the Card ID and badge. 
    • Manage the meeting reservation and schedule. 
    • Manage the building parking ticket. 
    • Manage incoming mails such as postage, parcel, DHL and express service, and responsible for all office logistics.

  2. Others (10%) 
    • Support the client tasks and event. (If necessary)
    • Support and responsible for the office Security and EHS tasks.  
    • Manage the data for corporate vehicles such as individual contract and list. 
    • Participate in continuous improvement programs, best practice development and facility management activities.   
    • Coordination with landlord / landlords agent in terms of general facilities and building activities and events 

Skills, Abilities, and Experience Required

  • English – written and spoken ability
  • Problem solver with ability to work with deadlines
  • Organized and detailed with good scheduling, prioritizing, and multi-tasking skills
  • Must be a team player with a “can do” attitude and adhere to departmental core values and consistently demonstrates professional behavior
  • Intermediate experience with MS Excel, Project, PowerPoint, and Word
