About the Role

As a Senior Facilities Coordinator, you will support the daily operational management of our client’s site in Elbląg. Your responsibilities will include coordinating facility maintenance tasks, managing work orders, and maintaining regular communication with the client, tenants, contractors, and service providers.
The role sits within Facilities Management, which ensures the smooth and safe operation of the property while supporting the client with inspections, repairs, investments, and operational compliance. The position also includes Contract Support responsibilities, ensuring proper flow of information, accurate documentation, and compliance with contractual requirements.


What You Will Do:

• Act as the primary point of contact for client inquiries, ensuring timely and high-quality responses.
• Manage and prioritize work orders; monitor progress and coordinate with technicians and vendors.
• Ensure that all activities align with the scope of the contract.
• Prepare reports on open and completed work orders.
• Maintain accurate and organized documentation, including work orders, proposals, compliance records, and vendor files.
• Coordinate with landlords, tenants, service providers, and subcontractors to ensure adherence to procedures and reporting guidelines.
• Oversee external facility activities, including proper waste disposal and recycling.
• Ensure subcontractors are fully compliant with QHSE requirements.
• Support operational and financial systems as a point of contact for client queries.
• Process invoices, verify accuracy, and ensure correct cost center coding.
• Identify and support cost-saving initiatives aligned with client and operational objectives.


What You Will Need:

• High school diploma or equivalent; 1–2 years of experience in facilities coordination, office administration, property management, or similar roles.
• Strong command of the English and Polish language (written and spoken) – required for communication with the client and documentation.
• Strong organizational skills and attention to detail, with the ability to follow procedures accurately.
• Clear communication skills for interacting with clients, vendors, and internal teams.
• Proficiency in Microsoft Office (Word, Excel, Outlook).
• Basic analytical and numerical skills (percentages, markups, discounts).
• Proactive and curious mindset with a willingness to learn and work in a structured environment.


Nice to Have:

• Experience working in corporate or commercial building environments.
• Familiarity with CAFM systems or ticketing tools.
• Basic understanding of QHSE standards.
