Primary role objectives 
 
This position provides client service support to the representative’s clients and assists with  administrative support in the day to day operations of the department. 
 
Key Responsibilities: Administration and Digital Marketing Function 
 
o Responsible in doing administrative duties and clerical functions to help with the day-to-day business operations, assist department heads with administrative duties that are assigned to their executive. 
 
o Appointment arrangements, meeting room booking and all necessary preparation for department heads, includes collect weekly competitor report and record meeting minutes 
 
o Assisting with seminar, exhibition, event set up and field management to make sure everything works smoothly. Coordinating with vendors to create design posters, stickers, digital assets, banners, ads, email blasts, and more project or event base. 
 
o Book all travel for team travel as needed, organize and submit routine travel and expense reports for directors. This includes preparing travel schedules and meeting itineraries, collating all reports, documents, board papers, schedules and name cards required for the trip, as well as the processing of passport visas, liaison with travel agents on air tickets, and the preparation of monies and funds needed for the assignment 
 
o Assist to collect department invoices from vendors and follow through on payment 
 
 
Client Services Function 
 
o Electronically file client statements, correspondence, and agreements so that all client filing; Remind all purchased clients second payments, completion, etc with client service email; Managing and maintaining an up-to-date clients/channels/partners contact databases for department 
 
o Ensure all required forms, promotion documents are completed completely and accurately; Assist senior operation manager ensuring accurate deal file maintenance and all billing related matters for the whole team. 
 
o Managing large amounts of incoming calls and customer inquiries. Handle phone calls from clients, when appropriate; record call-in clients’ information and send to sales director to distribute to sales team 
 
o Attracts potential customers by answering questions; suggesting information about exhibition and events. Identifying and assessing customers’ needs. Keep records of customer interactions and transactions 
 
o Resolves service problems by clarifying the customer's advice or complaint; determining the cause of the problem; assist directs selecting and explaining the best solution to solve the problem; expediting correction or adjustment; following up to ensure resolution 
 
 
Qualifications 
 
o Relevant real estate qualifications and/or experience are essential.   
o Bachelor Degree 
 
Essential Skills 
 
o Proven customer support experience or experience as a client service representative o Strong phone contact handling skills and active listening o Familiarity with CRM systems and practices o Customer orientation and ability to adapt/respond to different types of characters o Excellent communication and presentation skills o Ability to multi-task, prioritize, and manage time effectively o Knowledge of Microsoft Word, Outlook and Excel.
