Key Responsibilities:
- Provide timely and accurate project documentation and reporting including, but not limited to:
- Database System administrator / manager of CBRE ProjectTalk tool.
- Reviewing project purchase orders, invoices and change orders.
- Reviewing project cashflows.
- Coordinate with Client Accounts Payable and/or finance team
- Support Project Managers to prepare capital expenditure budgets and forecasts
- Proactively seek opportunities to assist the project team to provide superior client services.
- Ensure contracting process is followed; support the project management team to ensure work is not started without proper client authorization and documentation.
- Proactively provide all aspects of invoicing support to ensure that project managers are in compliance with the invoicing process.
- Assists in maintaining Project Schedules.
- Assist project team in keeping project files up to date and complete using the approved Bank filing system.
- Execute Project Closeout procedures ensuring all deadlines are met. Utilize the contract compliance check list to confirm all items are complete before submitting for final closure.
- Exhibit developing experience and competence in the ability to perform project management activities from project due diligence and planning through closure.
- Ensure a clear understanding of work requested/required deadlines. Communicate status and completion of assignment to requesting project manager.
- Execute complete and error free work assignments as directed.
- Track key milestone dates for multiple projects in clients database
- Provide timely and accurate project documentation and reporting.
- Ability to access and use ALL project management systems of record including Bank of America Merrill Lynch Corporate Website.
- Ability to maintain data integrity for individual projects within the project tracking system.
- General office duties as necessary.
- Performs additional job duties as requested.
Experience
- Project management or related field experience or degree in Construction Management, finance or related field
- HKIS, or similar, qualification. Would ideally suit a recently qualified Quantity Surveyor.
- Knowledge of basic business practices
- Self disciplined and motivated
- Strong interpersonal skills and problem solving ability
- Strong verbal/written communication and presentation skills
- Strong interest in advancement into a Project Manager Role
- Proven record of excellent internal and external customer service
- Expert skills in all office software systems including Microsoft Work, Excel, Project, Outlook, Power Point as well as Adobe Acrobat
