JOB SUMMARY
The purpose of this position is to provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
ESSENTIAL DUTIES AND RESPONSIBILITIES
May prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software.
May create a wide variety of template, company-sanctioned marketing materials that may include maps, advertisements, demographic reports, and executive summary brochures for in-house and client presentations using advanced desktop, graphic, and mapping software.
May conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and boards of directors.
May read and analyze incoming memos, submissions, and reports to identify their significance and plan their distribution.
May perform technical duties such as working with multi-media software, setting up Audio Visual equipment, initiating video conferences, or operating phones or the Internet.
May open, sort, and distribute incoming correspondence, including faxes and email.
May file and retrieve corporate documents, records, and reports.
May perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
May answer phone calls and direct calls to appropriate parties or take messages.
Other duties may be assigned.
SUPERVISORY RESPONSIBILITIES
No formal supervisory responsibilities in this position.
May provide informal assistance such as technical guidance and/or training to coworkers.
May coordinate work and assign tasks.

Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.
FINANCIAL KNOWLEDGE
Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.
REASONING ABILITY
Ability to understand and carry out general instructions. Ability to solve problems in standard situations. Requires basic analytical skills.
SCOPE OF RESPONSIBILITY
Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
