Job Summary:

  • Lead Client’s facilities management efforts associated with successfully opening newly constructed or renovated floors or buildings.
  • Responsible for the leadership, planning, and oversight of delivering a successful building launch or post renovation experience as part of the facilities program support for the client.

Essential Duties and Responsibilities:

  • The Program Manager – New Builds & Renovations is a multi-purpose role, serving as:
    • Facilities Management Launch Program Manager - responsible for understanding client and business unit expectations of new and renovated space, developing key Facilities Management milestone tasks before, during and after completion of construction work to ensure successful transition to operations.
    • Project Management oversight for new construction of corporate office space, as well as any major renovations requiring punch, working closely with client project management partners, development and construction teams, operational facilities management teams and other GREF programs to ensure successful handover of new or renovated spaces.
    • Design Feedback – receiving operational design feedback from Facilities Management teams, and ensuring proper documentation and appropriate communication of that feedback to development and construction teams, as well as client Workplace Guidelines team
  • General Work Scope:
    • Act as single point of contact on all renovation projects (that requires a post project punch walk) and new building launches in Puget Sound for client
    • Act as single point of contact and subject matter expert for client programs and facilities management
    • Guide the Facilities Management team to execute project specific deliverables
    • Responsible for ensuring respective FM teams have proper documentation of facilities launch operations for their respective building(s)
    • Help inform Annual budget preparation for each new building/floors coming online
    • Meet with on-site representatives on a regular basis to ensure successful transition to operations
  • Program Management Scope:
    • Creates and maintains training materials, checklists and requisite templates/resources for use by Building Launch teams. Where applicable, works with Learning & Development Team to administer training for new team members.
    • Creates and maintains current Corporate Building launch Playbook process and tasks, acting as Single Point of Contact for updates to tasks/processes as needed.
    • Receives and evaluates construction and design feedback from Facilities Management, Operations and Programs Teams, and presents feedback to client Workplace Guidelines Team for review/approval to update Room Data Sheets
    • Actively seeks feedback on steps/tasks from Facilities Management, Operations and Programs Teams, and client on Corporate Site Launch Playbook
  • Project Oversight Scope:
    • Works with FM operational teams to identify Launch Team for each building/project
    • Reviews Construction Drawings for new construction and renovations to ensure the design and buildout comply with existing client operational standards Identifies any operational requirements that are not being met by Construction & Development teams and communicates to client
    • Serves as initial liaison between Building Launch team and Construction & Development teams
    • Facilitates introduction to new Property Management Team (and Ownership entity if applicable) in addition to setting client expectations for consistent operational standards.
    • Works with Building Launch team to identify and communicate project risks to client. Where applicable, develops mitigation plan to reduce impacts to client.
    • Track and communicate project timelines and milestones on a per project basis

Supervisory Responsibilities:

  • Provides direct supervisory responsibilities over on Assistant Program Manager
  • Provides supervisory responsibilities over individual Facility Manager responsible for individual site launch or project

Qualifications:

A. EDUCATION and EXPERIENCE

  • Bachelor's degree (BA/BS) from 4-year college or university. Advanced degree preferred.
  • Minimum five years of related experience. Facilities Management and project management experience preferred.
  • Prior Supervisory experience preferred.

B. CERTIFICATES and/or LICENSES

·         Facilities Management, PgMP (Program Management Professional) and/or PMP (Project Management Professional) certifications preferred.

C. COMMUNICATION SKILLS

  • Ability to comprehend, analyze, and interpret the most complex business documents. Ability to respond effectively to the most sensitive issues.
  • Ability to write proposals, playbooks, standard operating procedures, reports, and articles using distinctive style.
  • Ability to make effective and persuasive presentations on complex topics to employees, clients, top management and/or public groups.
  • Ability to motivate and negotiate effectively with key employees, top management, and client groups to take desired action.

D. FINANCIAL KNOWLEDGE

·         Requires in-depth knowledge of financial terms and principles. Ability to calculate complex figures. Ability to forecast and prepare budgets. Conducts financial/business analysis including the preparation of reports.

E. REASONING ABILITY

·         Ability to solve advanced problems and deal with a variety of options in complex situations. Requires expert level analytical and quantitative skills with proven experience in developing strategic solutions for a growing matrix-based multi-industry sales environment. Draws upon the analysis of others and makes recommendations that have a direct impact on the company.

F. OTHER SKILLS and/or ABILITIES

  • Strong process skills, negotiating, decision-making and analytical skills are necessary. Demonstrated ability in project management processes, tools and techniques.
  • Ability to build and maintain effective professional/client relationships. Intermediate skills with Microsoft Office Suite including MS Project.

G. Scope of Responsibilities:

  • Decisions made with in-depth understanding and interpretation of procedures, company policies and business practices to achieve general results.
  • Responsible for setting department deadlines.
  • Errors in judgment may cause long-term impact to co-workers, supervisor, department and/or line of business.
