We are looking for a self-motivated and high-energy team member to take on multiple marketing, administrative support, and business development duties for a group of high performing sales professionals in a faced-paced commercial real estate office. This person must have the ability to quickly shift gears and coordinate a multitude of tasks within a busy, modern downtown office.

This role requires a business development and administrative professional that can manage, understand, and interpret the multiple functions in high level real estate sales.


This position has room for advancement both in responsibilities and compensation.

  1. Administrative and Correspondence
  • Tracks, collates and maintains inventory of marketing materials.
  • Coordinates complex on/offsite meetings and conferences. Schedule appointments, keep calendars and arrange travel itineraries and meeting room reservations for sales professionals and Management.
  • Coordinating virtual meetings and presentations – verifying technology requirements
  • When necessary, aiding with reception/internal office duties
  1. File Process (Listing and Deal Cycle)
  • Ensure Correct Listing Documentation is Drafted and Executed (Listing Agreement, Representation Agreement, Commission Agreement, Confidentialities, Co-Broker, Etc.)
  • Gather Property Info and Process Listing when Obtained
  • Monitor Listing Status and Renew Listing when Expired; Regular audits to verify listing status and corresponding property marketing
  • Process Deal Files with All Required Documents and Vouchers for Closings
  • Monitor Closing Process and Timeline
  • Ensure Correct Closing Documentation is Drafted and Executed
  • File management to ensure all documentation is accessible to the appropriate parties
  1. Marketing Responsibilities
  • Maintains CBRE brand, product, office and client messaging and consistency by applying templates to produce marketing materials including flyers, offering memorandums, proposals, tour books, maps, floor plans and qualification packages.
  • Organizes the preparation and production of customized, client specific property information packages in response to Requests for Information (RFIs) and Requests for Proposals (RFPs).
  • Design Property Marketing Brochures and Keep Updated
  • Create and Update Property Marketing Contact Lists
  • Property Email Blasts and Newsletters – Monitor Stats, Contacts, and Schedule
  • Manage Team’s Listing Website Accounts including: CoStar/LoopNet, Cocie/Catalyst, CBRE Global Listings, DealFlow, etc as appropriate
  • Communicate Listings with Brokers and Economic Development Partners
  • Prepare and Send Out Property and Holiday Mailers
    • Maintain Individual and Team Website
    • Prepare and Update Case Studies
    • Order and Remove Signage
    • Acts as point of contact and liaison with the CBRE Property Marketing Studio
  • Managing catalogue of 3rd party vendors and managing service process (photography, drones, videos, virtual tours, etc).
  1. Business Development
  • Property Tour Searches and Complete Preparation of Tour Packages for Clients
  • Organizes the preparation and production of customized, client specific Proposal for real estate services and/or Broker Opinion of Value
  • Lease Proposals Preparation and Responses
  • Request for Proposals and Responses
  1. Financial
  • Excel Experience Required
  • Pro Calc (a Real Estate Financial Software Program) and Spreadsheet Deal Comparisons
  • Code Monthly Expenses through PeopleSoft

Other duties may be assigned.

Associate's degree (A.A.) or equivalent from 2-year college required. 3 years experience providing administrative support to multiple or team of professionals; ability to determine and respond to conflicting priorities preferred. 2 years experience in the Real Estate industry.




Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, coworkers and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.


Requires knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts and/or commissions. Conducts basic financial analysis. Ability to abstract a lease.


Ability to comprehend, analyze, and interpret documents. Ability to solve problems involving several options in situations. Requires intermediate analytical and quantitative skills.


Advanced skills with Microsoft Office Suite, internet research and web publishing skills. Ability to manipulate basic templates in Power Point, InDesign, Excel, Campaign Logic preferred. Other Software Knowledge & Training will be Involved. Strong marketing knowledge needed.


Decisions made with thorough knowledge of procedures and company policies to achieve set results and deadlines. Responsible for setting own project deadlines. Errors in judgment may cause negative impact to internal and external clients.
