About the role

The Workplace Program Supervisor provides workplace services and operational support to increase individual well-being, personal productivity, and effectiveness. Specialty Programs give employees access to amenities and perks such as fitness programs, massages, dry cleaning, art and hobby classes, discount programs and more. Our goal is to make it easier for employees to take care of themselves beyond their day-to-day work responsibilities. This position connects employees to their environment and helps them find balance in their life through high-touch services and world-class customer service. The Supervisor is responsible for managing the day-to-day workflow of the program and team, adhering to quality standards, deadlines and proper procedures. This position oversees customer service, manages projects, develops marketing & communication plans, maintains vendor relationships, resolves client concerns and acts as a liaison between coordinators and team leaders.

    • New Site Openings
    • Recreation Programs

  • Acts as a project manager and uses critical thinking skills to see project through from beginning to end
  • Leads all aspects of customer service via Client’s internal channels, including ticketing system, scheduling, phone, email, or in-person. Assists in responding to customer requests and complaints regarding Workplace Program services; leverage problem solving skills to create tactful responses.
  • Ability to work in a fast-paced environment and in ambiguity; highly adaptable and flexible.
  • Program marketing and communications management through internal channels; ability to draft high quality written communication for internal and external audiences, ability to create marketing collateral and materials.
  • Maintain and update process documentation.
  • Maintain relationships with internal cross-functional partners and vendors that provide support, services and goods to the office. Ensure all vendors meet all necessary requirements set by Program Lead.
  • Provide support for delivery of onsite events and services (i.e. gift fairs).
  • Provide administrative support for the Workplace Program team as directed, including expense management, meeting coordination, office and workplace experience, equipment care, and supply management.
  • Manage accuracy, production, quality and retention of program materials; which may include administration of SharePoint and internal team sites similar client specific portals. Ensure client and company materials follow client and company brand guidelines.
  • Capture data, analyze and maintain the integrity of databases and other digital tools such as form automation and metrics associated with service delivery
  • Audit all billings for business services to ensure accuracy.
  • Attend, move meetings, and coordinate all moves with client contacts with high level organization skills; ability to take impact notes and proactively share updates.
  • Responsible for overall performance and excellence of the client’s workplace program. To that end, other duties not outlined in this job description may be assigned.

Supervisory Responsibilities

Provides formal supervision to individual employees within a single functional or operational area. Recommends staff recruitment, selection, promotion, advancement, corrective action and termination. Plans and monitors appropriate staffing levels and utilization of labor, including overtime. Prepares and delivers performance appraisal for staff. Mentors and coaches team members to further develop competencies. Leads by example and models behaviors that are consistent with the company's values.

What you’ll need

Education and Experience: HS Diploma or GED required. A minimum of 2 - 3 years related experience (e.g.Concierge, Hospitality, Room Management, or Customer Service roles) is required. Associates or Bachelors degree preferred.

Certificates and/or Licenses: None

Communication Skills: Ability to tailor communications based on audience; Strong vendor facing and user facing communication skills. Respond to common inquiries or complaints from clients, co-workers, and/or supervisors. Effectively present information to an internal department and/or large groups of employees. Comfortable meeting and interacting with new people. Warm and engaging demeanor, and the ability to assess circumstances, empathize and offer help.

Financial Knowledge: Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.

Reasoning Ability: Understand and carry out general instructions in standard situations. Solve problems in standard situations, which requires basic analytical skills with strong reasoning and critical thinking.

Scope of Responsibility: Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short term impact to co-workers and supervisors. Strong team player; thrives on collaboration.

  • Facilities or space management 
  • Proficient with Google sheets, Google Workspace (Gmail, Calendar, Slides, Docs Sheet) and Excel

The minimum salary for the Workplace Program Supervisor (Merchandise Store) position is $75,000, and the maximum salary is $95,00 annually. The compensation that is offered to a successful candidate will depend on the candidate’s skills, qualifications, and experience. Successful candidates will also be eligible for a discretionary bonus based on CBRE’s applicable benefit program. This role will provide the following benefits: 401(K), Dental Insurance, Health Insurance, Life Insurance, and Vision Insurance.
