Key Responsibilities
  • Ensuring timely completion of all FM-services for the site assigned.
  • Conducting site day to day FM-service based on the understanding of SOW and site FM requirements.
  • Manage and supervise the on-site team to ensure quality services are delivered to clients in compliance with SLA’s and KPI’s requirements.
  • Making daily liaison with the client and end-user, implementing escalation and response time as required.
  • Ensuring execution of actions align with all established policies and procedures with particular regard to statutory code requirements, essential services certifications, workplace health and safety, building services operation and emergency procedures.
  • Support service satisfaction survey and supervising continued improvement activities in operation.
  • Working with EHS manager on complying with EHS, critical systems and statutory regulations.
  • Preparing periodic operation reports as required.
  • Assisting in the development and execution of continuous improvement programme.
  • Administrating, coordinating and updating the company business license and related documents. 
  • Assist in preparation of annual operating maintenance and capital works budget.
  • Issue Purchase Orders ensuring correct account code allocation and approval. 
  • Monitor and report as required on actual to budget expenditure year to date and full year.
  • Provide monthly report on services and monthly expenditure.
  • Ensure all safety and environmental audit action items are addressed and appropriate documentation maintained.
  • Handle move and change projects when required.  Assist in all aspects of project implementation as needed.
  • Liaise with BMO to ensure facilities are running smoothly and effectively for daily operation.
  • Carry out daily workspace inspection to the FM-site making sure health and safety standards are met and arranging for repairs when needed.
  • Fire Marshals and First Aider recruitment, training and monitoring, organize regular briefing and arrange annual fire drill.
  • Follow-up with FI-team on engineering management liaison.
  • Guiding and tracking site team for closer of F&B (HSE) related actionable items.
  • Conduct surprise checks other than scheduled, for onsite kitchen and vendor mother kitchen set-up.
  • Ensure hygiene standards are maintained at on-site kitchen / cafeteria.
  • Strict monitoring of food quality (Prepared food / raw materials etc.).
  • Co-ordinate food quality issues as per SLA.
  • Close audit findings in liaison with vendor.
  • Prepare monthly, quarterly reports on consumption trend, updates on cafeteria operations, all F&B aspects.
  • Performs other duties as assigned.


Required Knowledge and Skills:
  • Degree in Facilities Management or above preferable
  • Minimum of 3 years of related experience and/or training. Prior vendor supervisory experience preferred.
  • Strong interpersonal skills, self-motivated, communicative, and problem-solving skills.
  • Ability to respond to workplace incidents and to solve problems involving several options in situations.
  • Strong knowledge of facilities management operations.
  • Prior facilities coordination experience & basic technical knowledge on office facilities are ideal 
  • High integrity character who is positive and self-confident.
  • Excellent command of English and Chinese, both spoken and written.
  • Well-versed in Word, Excel and PowerPoint applications.
  • Hands-on experience in vendor management preferred.
