We are looking for a business operations coordinator to join the CBRE Global Workplace Solutions account supporting one of the world’s largest online retailers.

In this role, you’ll be working under the supervision of the business operations manager and will provide routine day-to-day business operations support to multiple teams. Your key area of focus will be expense reconciliation and report processing, and you will also provide administrative support to account leadership. You’ll handle additional functions such as processing vendor invoices, making group travel arrangements, and other tasks to support the team.

We are looking for someone who is relentlessly organized and detail oriented, and who enjoys working methodically to process a high volume of information. The ideal candidate is motivated by providing excellent customer service and by the pursuit of total accuracy in their work. This role will be a key resource for the rest of the team and for account leadership and is expected to be able to prioritize and manage their time effectively.

Remote position. Schedule is flexible outside of core hours that will be determined based on time zone.


Responsible for coordinating the tracking, organizing, timely entry, and processing of expense reports for a high volume of monthly travel and leadership expenses on several corporate card accounts. Collaborates with team and vendors to ensure thorough documentation of expenses. Codes and allocates expenses within PeopleSoft.

Reconciles and audits vendor invoices and submits for billing in a timely manner. Researches vendor invoices and payment inquiries.

Arranges travel for new hires and candidates as requested, including group travel for large onboarding cohorts. Serves as a key contact for those new hires.

Provides administrative support to account leadership, including:

·         Coordinating the timely entry and processing of expense reports within PeopleSoft

·         Scheduling meetings

·         Arranging travel

Other duties as assigned.

High school diploma or general education degree (GED) with a minimum of two years of related experience and/or training.




Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.


Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.


Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.


Intermediate skills with Microsoft Office Suite products such as Word, Excel, Outlook, etc. Knowledge of Financial software systems (e.g. PeopleSoft, MTA, VAS and I-Track).


Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
