  • Under general supervision, upholds the integrity of real estate portfolio data for assigned portfolio of clients. Inputs, maintains, organizes and reports on information regarding lease dates, dollar values and financial accounting transactions into a lease management software database. Prepares, processes and reconciles accounts to ensure accurate and current lease information is maintained.


  • Initiate new lease set up including abstract lease info and set up recurring billing into the lease database.
  • Abstract lease extension agreements, amending agreement and ancillary documents.
  • Assists manager in resolving critical issues for clients by researching and gathering information about payment transactions, lease terms and other relevant items as requested.
  • Review, verify & process landlord’s annual budget, ensure accurate proportional share calculations of CAM/Realty Tax/HVAC/Utility charges.
  • Maintains excel tracking spreadsheet and creates records in Lease Audit Database for year-end adjustment billings.
  • Review, compare, and analyze lease documents, operating expense and realty tax reconciliation statements received from Landlords to ensure expenses charged to the Client in compliance with Lease.
  • Request additional information to confirm Landlord assertions made relating to operating costs.
  • Prepare reports of desktop audit review findings and assists with negotiating these findings with Client and Landlords to ensure accurate credits and charges are made.
  • Tracks audit savings for Client and verifies all savings have been accurately recorded.
  • Review, analyze & process Rental Advice Notices / escalations received from Landlords ensuring accuracy and acceptability under the terms of the Lease.
  • Prepares and updates the department’s operational processes for the purposes of streamlining and improving productivity.
  • Reconcile monthly rent roll and process payments.
  • Assist interpretation of lease clauses for internal and external clients.
  • Investigate and respond to landlord queries pertaining to lease/rental issues.
  • Prepare estoppel certificates and Non-Disturbance Agreements upon request.
  • Monitor critical dates such as expiry dates, options to renew and termination.
  • Scans and uploads incoming leasing documentation in Client and CBRE systems and tools.
  • Performs other duties as assigned.


  • No formal supervisory responsibilities in this position. May provide informal assistance such as technical guidance and/or portfolio specific training to co-workers.


  • High school diploma or general education degree (GED) and a minimum of two to four years of related experience and/or training. Ability to review and interpret legal documents for the purpose of abstracting and populating database with lease information.


  • Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal group.


Requires advanced analytical skills. Ability to solve problems in standard situations. Ability to understand and carry out general instructions in standard situations.


  • Broad knowledge of commercial real estate leasing is a plus. Intermediate skills with Microsoft Office Suite.
