Purpose of Job

To assist the EDC ICT team, with the collation of hard drive and equipment information marked for decommissioning or re–use, once removed from the Data Halls.

To undertake the day-to-day activities around Morgan Stanley’s Decommissioned and newly installed assets.

To undertake regular audits of Morgan Stanley IT assets held in its London Data Centers and Co-location sites

Key Skills

To be proficient in the use of a computer, particularly Microsoft Excel, SharePoint, Chrome, Shredd, Splunk, Internet Explorer and Database Inputting                                                                                                                                                  

Responsibilities and Duties

·       To manage a small team and ensure all aspects of the IT Asset Administrator role is being completed to the required standards.

·       In the absence of a team member step in to complete daily tasks as listed below.

·       To ensure your team receive spreadsheet of both hardware and hard drive information from the EDC ICT Cabling Team of equipment that has been either decommissioned or deemed for re-use that weekend.

·       To validate of all IT hardware that has been decommissioned from its operational environment

·       Ensure quality / compliance of management system documentation is adhered to.

·       To ensure quality assurance checks are completed on all newly installed kit, update ServiceNow with completed QA sheet and update ITA where necessary.

·       Lease with White space team and keep them updated with Rack capacity.

·       Process Break fix items for disposal or RMA as and when they are handed over to you. Update SHREDD.

·       Complete a weekly handover of decommissioned assets and Break Fix items to EAD team ensuring tickets are reassigned to the correct group.

·       Provide auditable evidence to the client that the duties within this document have been carried out correctly.

Responsibilities and Duties continued….

·       Complete quarterly bank reports by proving the location of selected Hard Drives, provided by Risk management Team.

·       Adhere to the rules and regulations as documented in the standards concerning Buildings and Communications rooms

·       Always liaise closely with the customer and promote a positive image of the company.

·       Ensure that your Manager is made aware of any issues that may affect the ability to deliver the service against the agreed Service Level Agreements.

·       Escalate any issues or concerns related Inventory Database drive issues to your Manager in a timely fashion.

·       Ensure that your Manager is made aware of any absence or lateness as per company procedure.

·       Make sure all health and safety requirements are met and that any concerns or incidents are escalated to the ICT Service Delivery Manager, document any accidents that occur.

·       Prepare and complete 10% monthly ITA audits of the production equipment within the Data Centre and assets within storerooms.

·        Prepare Monthly Audit sheets for all co-location sites, liaise with co-location manager to ensure audits are completed correctly and in a timely manner.

·       Create Service Now tickets for each audit, once complete allocate the ticket to ICT team to complete relevant updates needed in ITA.

·       Check ITA updates have been completed and close tickets.

·       Present monthly reviews QA checks and audit outcomes.

·       Hold frequent meeting with IT Asset Administrator to check progress of tasks being performed at counter site are completed to expected standard. Assist where needed.

·       Ensure that the correct uniform, if required, is always worn and if additional items are required then notify the ICT SDM or Contract support team.

·       Make sure that annual leave is requested within the correct timeframes and as per company procedure.

·       Make sure your time sheets are completed and signed by no later than 10am every Friday and are made available for the contract support team, any overtime must be submitted via the relevant form and made available at the same time.

·       Ensure that emails are checked on a regular basis and actioned where necessary and completed within time

·       Ensure that your groups ServiceNow que is checked daily and prioritise workload.
