We have an exciting opportunity for a Facilities Coordinator to join our team on the Honeywell site in Aberdeen. This role will play a key role in supporting our client’s site operations by providing an efficient and effective point of contact for both our client and our UK operations team. The successful candidate will be responsible for the management of all aspects relating to statutory compliance across the client site coupled with other defined tasks to support UK Operations & Finance as well as the client’s logistical operations as and when required to support the wider team.
Main responsibilities include but are not limited to:
Conducting supplier surveys on MySupplier as required
Compiling of the Customer Monthly Management Report
Liaising with the client regarding payment of invoices
Site inductions
Helpdesk: including but not limited to; logging, distributing, and closing of planned maintenance and reactive calls on desired system.
Continually develop systems to maximize efficiency benefits for the customer and GWS.
Update labour allocations to ensure accurate client reporting
Management of waste activities including coordinating with waste management supplier
Finance
Raising and Reviewing open Purchase Orders
Comprehensive spend tracking
Ad-hoc reporting as requested by Business Unit or Business/Finance.
Quality
Co-ordination of sub-contractor files, ensuring they are statutorily compliant with QHSE requirements
Logging hazards & customer feedback on the QHSE Management Portal
Subcontractor reviews
Logbooks compliance
People
Coordinating training for the team
Other
Obtaining supplier quotes and uploading onto the internal system for client approval
Maintaining the stationery supply
Updating Portals as and when required
Reception duties
Client logistical tasks and support as required
Other undefined tasks as required by the site/contract.
Building Relationships
Build strong effective working relationships with site teams across all interdependencies
Build and maintain strong and effective relationships with client’s on-site as well as client senior management team
Understand customer needs and develop plans to address them
Resolve customer queries quickly and effectively
Person Requirements
Proven and demonstratable experience within the facilities sector would be beneficial
Proven and demonstratable experience within the oil and gas sector would be beneficial
Excellent communication skills
Excellent interpersonal skills

Flexible approach to working hours
Excellent MS Office Suite Skills
Ability to respond effectively to highly sensitive issues
