DUTIES AND RESPONSIBILITIES

  • Day to day management of services listed below (as appropriate) and coordinated with Facilities Supervisor:
    • Mail and courier services
    • Janitorial, cleaning and pest control services
    • Client work order management
    • Conference room bookings and support services
    • Office equipment services (shredders etc)
    • Catering, vending, kitchen equipment.
    • Bus transportation services
    • Landscaping
    • Others
  • Daily interfaces with all levels of business unit personnel determining requirements and mobilizing internal and external resources accordingly.
  • Implements continuous improvement ideas to enhance service offering and cost effectiveness.
  • Maintains databases including client requests, cost records/invoicing,
  • Manages recycling program and other sustainability programs.
  • Manages operations staff which could include: janitors, cafeteria workers etc.
  • Ensures client needs and concerns are considered and addressed in a timely manner.
  • Monitors progress of tenant services and provides feedback to Facilities Supervisor.
  • Monitors expenditures and assists in preparing budget estimates for the area of responsibility.
  • Other responsibilities as assigned from time to time
REQUIREMENTS

  • Minimum of 1 years of related experience and/or training. Prior vendor supervisory experience preferred.
  • Diploma/Degree in Tourism/Hospitality/Business Administration or other relevant fields
  • Good Knowledge on Workplace safety including but not limited to understanding Risk 
  • Assessment, Method of Statement, Safety Data Sheets.
  • Excellent written and verbal communication skills. Strong organizational and analytical skills. 
  • Ability to provide efficient, timely, reliable and courteous service to customers.
  • Ability to effectively present information.
  • Ability to respond to workplace incidents and to solve problems involving several options in situations.
  • Ability to comprehend, analyze, and interpret service agreement documents. Requires advanced analytical and quantitative skills. Intermediate skills with Microsoft Office, Outlook, and /internet.
  • Prior facilities coordination experience & basic technical knowledge on office facilities are ideal
  • Knowledge of facility related regulatory requirements and Exxon Mobil expectations including OIMS and CIMS requirements.
