Job Summary:
The Welcome Host is the primary point of contact for the site and will act as the face of Hana. They will illustrate Hana’s core values and strive to achieve our mission. They will also support the site management team to create a welcoming and collaborative environment where our clients can do their best work. The Welcome Host will ensure that the site processes are running smoothly and it is fully operational. 
Essential Duties and Responsibilities:
  • Setting exceptional standards within the Hana space
  • Answering all incoming calls, emails and web enquiries in a professional and warm manner
  • Providing a professional meet and greet service to clients and visitors
  • Responsible for all meeting room bookings including the maintenance and smooth running
  • Arranging staff and client catering in house and with external suppliers for events
  • Ensuring the meeting rooms are impeccably presented for all meetings and that the required room set up is prepared in a timely manner
  • Maintaining a professional reception space area at all times
  • Provides a warm, friendly and professional greeting to all those who enter the site. Be the first and last point of contact for the site
  • Cover the front desk during normal business hours
  • Assists clients with arrangements for recreational, dining and business activities
  • Solve clients issues as needed including engaging necessary support from internal and external resources
  • Work on initiatives to develop connections between clients, including event support, email and print communications
  • Assist with set up and breakdown of events
  • Assist with building operations and maintenance to ensure high level of client experience
  • Identify issues for escalation to the General Manager or Member Experience Manager
  • Responds to security and emergency situations per the building and company procedures

Education and Experience:
  • Previous front desk, concierge or other hospitality experience preferred
  • Strong interpersonal skills and ability to quickly form professional relationships with colleagues and clients at all levels of seniority
  • Ability to prioritise and co-ordinate tasks efficiently ensuring all deadlines are met
  • Accurate and exceptional attention to detail
  • Pro-active and enjoys working autonomously and as part of a wider team
  • Confident and assertive where required
  • Friendly and outgoing
  • Excellent IT and Technology skills to assist members with common technical issues
  • Good communication skills, both verbally and in writing
  • Interest in wellness is a plus
