Query Management and Resolution
Meet and greet employees, clients and visitors, & provide assistance based on their needs.
Handle & administer general enquiries from business users, ensuring prompt, effective resolution.
Stewardship of Workplace Behaviour 
Proactive stewardship of workplace behaviour via floor walks observing workplace behaviour along with corrective reminders / actions performed (OR escalation to FM leads and or workplace team).   Ensure different space types are used as intended and develop communications to rectify and educate as required.

Workplace Facilities Inspections  
Perform regular and frequent inspections of the floors owned by the GRH, including the meeting rooms, focusing on cleanliness, tidiness and everything being in good order.
Pro-actively report and record any faults identified with furniture, fixtures & equipment to the Facilities Helpdesk, and follow up as necessary to ensure prompt resolution.
Oversee resolution of issues identified with phones in collaboration areas and meeting rooms.
Locker Management 
Manage interaction with the business on all matters related to locker usage where FM, not the business, manage allocations of lockers to individuals. This may include locker allocations & usage, locker releases / clearing, locker audits and day to day issues such as forgotten keys / pin codes. 
Support Collection of Internal Occupancy Data 
Manage interaction with the business to assist the country point of contact for occupancy data (the ‘WebCoRE PIC’) in the collection / verification of data from the Bank’s space management system (‘WebCoRE’). Data includes employee location, workpoint occupancy and cost allocation information. 
Other Responsibilities are Location Dependent and may include:
GRH Media Presence
Manage the Guest Host internal website, updating the content
Manage the Guest Host email address, promptly responding to all emails received and managing any follow up required.
Workplace Signage 
Create and install workplace signage in areas of responsibility; maintain and ensure signage is relevant and in good condition.
Pantry & Utility Area Management
Replenish centralised utility room supplies of stationery & printer toner (including stock ordering)
Replenish pantry consumables (including stock ordering)
Maintain of first aid kits 
Co-ordination of On-Site Vendor Activity 
Ensure that vendors are appropriately escorted when within restricted areas e.g. for confidential waste bin collections
Ensure vendor documentation at point of delivery is in good order.
Executive Meeting Suite Management
Manage the Meeting Room booking system - this includes booking all forward and same day reservations, cancellations and / or amendments to bookings as per client requests
Confirm meeting room bookings with clients
Ensure all reservations have been allocated to the appropriate room and all client requirements have been met
Liaise with the Bank’s external clients locally and at other sites on video conferencing details
Liaise with vendors & Boardroom attendants on catering & audio visual equipment requirements
Monitor and follow up on the set up / run down of meeting, ensuring everything is in order
Event Management  
Assist with coordination of events:  liaise with vendors for cost proposals based on event requirements, supervise the set-up / dismantling of event venues, perform risk assessments.
Prepare pre and post event summary
Other Responsibilities
Provide support to team members. This includes complaint handling, feedback management, standards and client service delivery
Assist with administrative duties or project work as required
Reception duties as required, including ensuring the reception and public spaces are clean and tidy with the furniture in the appropriate positions at all times
Conduct regular visual checks on meeting room usage (vacant or in use) to support ad hoc analysis of bookings vs utilisation.
