Title : Facilities Coordinator
Working location: Client site in Yangjae-dong
The purpose of this position is to provide assistance to the facility management team to ensure the successful competition of client facility needs.
ESSENTIAL DUTIES AND RESPONSIBILITIES
•Ensure cleaning within buildings is to a high standard, working with 3rd party
•Liaise closely with 3rd party suppliers ensuring all planned & reactive works are responded/resolved within SLA. Keep the site reports and Health & Safety files
•Ensure the EHS Management System is maintained and followed in line with the company expectations
•Operation of CBRE systems in support of FM as required or directed
•Monitor SI7 at all times ensuring reactive and PPM jobs are being raised and actioned accordingly
•Purchase of required services/materials adhering to CBRE Procurement processes
•Responsible for liaison with client and contractors for provision of various services to include carrying out regular inspections, preparing performance reports, and ensuring delivery of services according to SOW
•Responsible for aspects of client moves and changes, including maintaining floor plans and client staff listings
•Assist in monitoring of internal and external fabric condition, ensure compliance with SOW and project manage repair or remedial works as required, managing costs, etc. for each element
•Project management to include client liaison, financial tracking and management, delivery to agreed schedules etc
•Prepare information and reports for CBRE reports, to include participation at regular client reviews
•Support FM in management of all services, staff and contractors to sustain and further develop CBRE success
•Deal with outgoing/incoming post and deliveries
•Assist with conference room management requests & carry out Daily Conference Room Checks using the approved client system
•Maintain Shared printers and respond in a timely manner to requests for service
•Visit devices per schedule and ensure consumable levels are adequate, including paper; address jams, consumable outages or paper issues
•Travel booking and assist
•Basic IT service coordination
•Attend and participate in any relevant training courses
EDUCATION and EXPERIENCE
Diploma from college or university degree required.
Minimum of three years of related experience and/or training.
Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.
Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.
Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.
OTHER SKILLS and ABILITIES
Basic skills with Microsoft Office Outlook. Physical requirements include stooping, standing, walking, climbing stairs and ladders and ability to lift and carry heavy loads of 50 lbs. or more.
Ability of business writing and speaking in English is mandatory.
