Data Center Critical Environment QA/Document Controller

Purpose of Job

The Critical Environment QA/Document controller will work as part of an operational team to support the Critical environment 24/7/365. The CE QA/Document controller is responsible for the control and maintenance of all CE related documents on site that relate to the operation of critical services within the data center environment. The role involves working with the numerous stakeholders to ensure the accurate management and safeguarding of documentation that is used and generated by the CE team in a manner that will enable any stakeholder quickly to retrieve them. This includes, but is not limited to, operating procedures, manuals, engineering/technical reports and site management files. The CE QA/Document controller will be involved in the continuous analysis and improvement of CE work systems to ensure that they meet all identified stake holder requirements (including CBRE, Microsoft & ISO requirements).


• Be the main point of contact on site for the client & CBRE management in relation to all CE documentation.

• The CE QA/Document controller is required to develop and implement processes related to CE document control and management.

• Manage the master Procedure matrix for all site operating procedures for the Data Center environment ensuring matrix is maintained to site requirements.

• Manage the creation and update of all site procedures for the Data Center environment

• Identification of and obsoleting of redundant procedures.

• Schedule periodic reviews of all current procedures along current SLA guidelines and liaise with responsible staff to ensure timely completion.

• Train CE team members on the client expectation on SOP, MOPs, EOPs and Drills. Provide status reports at times set by senior critical facility management team.

• Ensure all procedure documentation is indexed correctly and stored in the correct locations on share point to meet SLA guidelines.

• Stay abreast on the client’s runbook documents and notify the CE team of any changes that could impact operations.

• Manage the of creation and maintenance of work-related record data into key systems such as MS Office & MS SharePoint

• Ensure systems and data governance are in place and adhered to correctly by all CE CBRE staff on site.

• Develop an electronic filing/archive system and technical library for easy to issuance, storage, retrieval and management of documents to internal and external customers.

• Ensures proper CE document classification, sorting, filing and proper archiving. This includes the likes of Procedures, Permits, Method statements, Risk assessments, all vendor report types, in house CE maintenance and break fix work orders.

• Develop and maintain document control processes for the efficient management and recording of QHSE documentations.

• Maintain proper organization and storage of documents including any CE related information within the CE domain.

• Performs routine audits and quality checks on all CE related documentation including site CBRE logbooks.

• Support the team in shaping and implementing efficient, effective processes whilst always looking at best practice and new technologies to improve day to day CE operations.

• Monitor, track and Analyse Procedural, Staff training, ISO data etc. for reporting or audit purposes.

• Ensure all templates used with the CE domain conform to CBRE & client’s site standards.

• keep track of all company records by looking through both hard files and computer database files on a regular basis.

• Produce and maintain Progress Reports on CE documents/audits to CBRE Critical Environment Manager.

Qualifications and experience:

• 3rd level relevant qualification or several years’ experience in similar role

• Proven ability of translating strategic priorities into operational plans to ensure these priorities yield measurable and sustainable results.

• Possess good knowledge in document control, management processes and standards and with ISO standards.

• In-depth knowledge and experience with MS Suite software - Computer literate with the ability to compile and submit weekly, monthly and annual reports.

• Monitor and trend operational characteristics (procedures, training etc.).

• The ability to learn quickly and to gain maximum benefit from extensive training and development programs aimed at ensuring that any identified knowledge or experience deficiencies are addressed in the short term.

• Organized, able to effectively prioritize and deliver within a dynamic and high pressure, business critical environments.

• Availability to work out of hours should the need arise to support operational needs as required.

• Self-motivated, proactive with ability to work on own initiative,

• Must have high attention to detail, accurate with good organizational skills.
