Job Title: Administration Assistant to the Central Support Team and Business Unit Director (BUD)
Location: London, St Martins Court
Role Purpose
To provide high level administrative support to the Central Support Team and to one of CBRE Management Service’s Business Unit Directors ensuring general administration support on a daily basis to ensure that their operational needs and client needs are met at all times. The role will be reporting to the head of the Central Support Team and the successful candidate will be part of a busy team that will assist other members of the Department as well.

Key Responsibilities – In support of the Central Support Team and the BUD

Administration duties including minute taking, booking meeting rooms, preparing PowerPoint presentations, Excel and Word documents 
Being a direct liaison point for the whole team in the completion of routine and unplanned tasks that require collation of data
Managing shared electronic filing databases and reorganising same to ensure there is a clear and managed filing system for the client and property folders
Organisation and booking of business travel through the company’s preferred supplier - flights, train tickets, taxis and hotel accommodation 
Amending and formatting reports, correspondence and presentations to ensure they are in line with the corporate standard
Complete monthly expenses for the BUD
Support with new starter set up, IT, equipment ordering, access to systems  
Maintaining holiday and sickness records for the portfolio
Diary management and general team support
Update and maintain any email distributions lists
Coding invoices and escalate any areas of concern to the BUD
Answering the telephone for the team as and when required, involves dealing with client/supplier queries, providing information, taking messages and fielding calls where appropriate
Be responsible for the management and distribution of any post for the BUD and wider team
Business cards management
General team support 
Any other duties as directed by your Line Manager

Experience gained from working within professional services environment
Excellent PowerPoint Skills
Strong organisational and administration skills
Good IT skills (Word, Excel, MS Outlook) – to at least intermediate standard (test certs required, a proficiency test may be requested) 
A good standard of education 
Exceptional communication skills, both verbally and in writing
